Using Documents

This article explains how to use the Documents page to upload, organize, share, and find the files you work with in Novis.

What You Need to Know

The Documents section is where you keep all your files in Novis. Think of it as your file cabinet: you can upload files, find what you need quickly, and keep everything organized.

What you can do in Documents

In the Documents section you can:

  • Upload files (PDFs, Word docs, spreadsheets, slides, audio/video, and more)

  • Find files quickly using search

  • See what changed recently by checking the “Modified” date

  • Keep work organized using folders (for example, Uploads and Workspace)

How to work with the Documents page

When you open Documents you will see:

  • A menu on the left to move between areas (for example Personal, Groups, and Shared with me)

  • A folder list (for example Documents → Workspace)

  • A search box to look for a file by name

Upload a file

  1. Open Documents.

  2. Choose the Uploads folder.

  3. Click Upload (or drag and drop a file onto the page).

  4. Once uploaded, your file will appear in the list.

Tip: Give files clear names so you can find them later, for example: “Q2 Onboarding Plan – v1”.

Find a file

Search

Use the search box to find a file by typing part of its name.

Example: type “onboarding” to find “Q2 Customer Onboarding Improvement Plan”.

Filters

Use Filters to narrow down what you see, for example by file type or recently updated items.

Understand the file list

The file list helps you scan your files quickly:

  • Name: the file or folder name

  • Size: how big the file is

  • Modified: when it was last updated

If you see folders such as Uploads and Workspace:

  • Uploads contains files you uploaded (for example, a PDF or a spreadsheet).

  • Workspace contains documents created inside Novis (for example, Notes and Word documents).

Keep your files organized

A simple way to stay organized:

  • Use clear file names: Project – What it is – Date or version

  • Example: “Client Kickoff Notes – 2026-01-18”

  • Keep only 1–2 active versions of the same document

  • Move older versions into an “Archive” folder (or add “_archive” to the file name)

Sharing & Shared with me

Share a file (within your organization)

  1. Open Documents.

  2. Find the file you want to share.

  3. Click the three dots (⋯) on the right side of the file row.

  4. Select Share.

  5. Choose the people you want to share with (search by name or email).

  6. Click Share file to confirm.

Where shared files appear

If your team shares files with you, you can find them under Shared with me. If you work in teams or departments, you may also see Groups.

If you cannot find a file

Try these quick checks:

  • Make sure you are in the right area (Personal vs Shared with me vs Groups)

  • Clear any Filters

  • Try searching using fewer words

  • Check if the file is inside a folder (for example Uploads)
