What is Chat?
Chat is where you communicate with Novis. Type your requests, ask questions, attach files, and refine your work through conversation. Novis responds with analysis, drafts, advice, or by creating documents in the Workspace – all without leaving the chat interface.
Sending Messages
Ask Clear Questions
Simply type what you need. Be specific for better results.
Good requests:
"Analyze this contract for compliance risks under UK law"
"Create a project proposal document with budget breakdown"
"Research the latest AI regulations and summarize key requirements"
Copy for Email
Novis responses can be copied in an email-ready format. Use Copy for Email to paste content into Gmail or Outlook with clean formatting that matches default email styles. You can also use this when copying only selected text from a response.
Using Prompt Commands & Slash Commands
Novis allows you to use custom prompt commands to automate complex tasks and ensure professional consistency. These are expert-level instructions that you create yourself or that are shared with you by your organization.
The Slash (/) Shortcut & Quick Prompts
The fastest way to use a prompt is by typing / in the message box. This opens the Quick Prompts menu.
Important: A prompt will only appear in the / menu if it has been enabled as a "Quick Prompt." If you don't see your prompt there, you need to enable it:
When Creating: Toggle the "Quick Prompt" option to On while you are setting up a new prompt.
For Existing Prompts:
Go to the Knowledge section in the main menu;
Select Prompts:
Open the specific prompt you want to use as a shortcut;
Enable the Quick Prompt setting and save.
The "See All Prompts" Button
If you want to browse your entire library – including those not marked as Quick Prompts – click the Library button located at the bottom of the chat interface:
This allows you to search and select any prompt available to you.
How to Use Them
When you select a command (for example, /Legal review), it appears as a tag in your message box. You can then:
Attach a file (like a contract or report).
Add extra instructions to customize the task.
Press Send to apply that expert logic to your context instantly.

Save a prompt from Chat (Quick Save)
If you find yourself writing the same instructions often, you can save them as a prompt directly from Chat.
Type your prompt in the message box.
Click Save prompt.
Add a Title and (optional) Prompt description / notes.
(Optional) enable Quick Prompt if you want it to appear when you type / in Chat.
Click Save.
Your prompt will be saved in Knowledge → Prompts, where you can edit it later.
Selecting Your AI Model
Novis gives you the flexibility to choose which AI model powers your conversation. Different models have different strengths – some are optimized for speed, while others excel at deep reasoning or analyzing massive documents.
How to switch models:
Look at the bottom of the chat interface, next to the message input field.
Click on the current model name.
Select the model that best fits your current task from the menu.
When to switch models:
Standard Tasks: Use default models for quick answers and general drafting.
Complex Analysis: Switch to high-reasoning models for multi-step logical tasks, deep technical analysis, or complex problem-solving across any professional domain.
Large Files: Choose models with larger context windows when analyzing multiple long documents at once.
Choosing Auto: Simplifies model selection by choosing the best model for your request based on task complexity and required capabilities. Auto only selects Pro models to ensure the best quality of your deliverables.
Quote & Reply to Specific Text
You can reference a specific part of Novis's answer to keep the conversation focused:
Highlight any text in Novis's response
Click the Reply (quote) icon that appears
The selected text is automatically attached to your message input
Type your follow-up question
This ensures Novis knows exactly which part of the previous answer you are referring to.
Attaching Context
Upload Files
Attach relevant documents, spreadsheets, or other files to provide context for your request:
Click the “Add context” button in the chat
Select or Drag and Drop files from your computer
Press “Add selection”
Files appear in your message
Supported formats:
Documents: `.pdf`, `.doc`, `.docx`, `.ppt`, `.pptx`
Spreadsheets: `.xls`, `.xlsx`, `.csv`
Text & Markup: `.txt`, `.md`, `.rtf`
Images: `.jpg`, `.jpeg`, `.png`
Reference Files with @Mentions
Use @[filename] to reference an attached file in your message:
Examples:
"Analyze @contract-2024.pdf for payment terms"
"Extract data from @sales-forecast.xlsx and create a summary"
"Review @marketing-proposal.docx and suggest improvements"
Using Tools with @Mentions
Beyond @[filename], you can use special tools to enhance your requests:
@web – Search the Internet
Use @web to ask Novis to search for current information:
"What are the latest AI regulations @web"
"@web latest market trends in fintech 2026"
"Find information about GDPR compliance requirements @web"
Novis will search the web, synthesize results, and cite sources.
Web search capabilities may also be enabled by clicking on
@research – Deep Research Mode
Use @research for comprehensive topic investigation:
"Conduct @research on emerging AI governance frameworks"
"@research competitive landscape in the SaaS market"
Novis will perform an iterative investigation, explore multiple angles, and deliver a detailed report.
You may also activate Deep Search mode by clicking on
@workspace – Direct Document Management
Use @workspace when you want to explicitly signal that you're creating or managing a workspace document. This is especially useful when your request could be ambiguous.
When to use it:
"I need a formal document, not a chat response"
Mixing multiple types of requests (analysis in chat + document creation)
Managing multiple documents in one conversation
Examples:
"@workspace create a summary report" – Explicit: you want a formatted document in the Workspace
"Summarize this report" – Could be chat or text, not clear
Reference Previous Work
Novis maintains conversation history. Reference earlier documents or discussions:
"Based on the proposal we created earlier, add a risk assessment section"
"Compare this with the analysis from our last conversation"
"How does this differ from the NDA template we drafted?"
Citation & Source Tracking
When Novis uses information from your documents or web searches, sources are cited:
File sources: Referenced as [filename] with page numbers if applicable
Web sources: Linked citations showing where information came from
Transcripts: Referenced with timestamp markers
Tips & Tricks
Mastering Prompting: How to Get the Best Results
Writing a "good" prompt is about providing Novis with the right elements to work with. Use the Context-Task-Format framework for the most reliable results:
Provide Context (The Who/Why): Tell Novis what role it should play and what the background is.
Example: "Acting as a senior legal counsel, review this document for...
Define the Task (The What): Be specific about the action you want to take.
Example: "...identify all clauses related to data privacy and summarize them."
Specify the Format (The How): Tell Novis how you want the answer delivered.
Example: "...format as a 3‑column table with a brief summary on top."
Pro Tip: Always use @mentions to ground your prompt in real data. Instead of saying
"the contract," tag @contract-v1.docx. This ensures Novis looks at exactly the file you are thinking of.
Ask for Different Formats – "Summarize this in bullet points" or "Create a table comparing..."
Iterate Until Perfect – Keep asking for refinements until the output meets your needs.
Voice input (speak your prompts)
You can also speak your prompts instead of typing them:
In Chat, click the microphone icon next to the message box:
Start talking; Novis will turn your speech into text and run the request as usual.
This is useful when you want to describe a task quickly, capture ideas on the fly, or work hands‑free.
Limitations & Notes
Context Size – Very large files may take longer to process.
Real-Time Data – Use @web for current information. Novis training data has a knowledge cutoff.
Context Window – Different AI models have varying "context windows," which determine how much information (and how many files) they can process at once. If you find a model is reaching its limit or cannot process all your files (If the number in the context window is above 100%) simply switch to a model with a larger context window using the model selector at the bottom of the chat interface.
